HOW TO RUN A TELECOMS TENDER WITH US

As with most tenders, the opening paragraphs of your tender documentation should discuss your company. Not just who you are and what you do but also to act as a sales pitch. What’s going on in the space, what the future holds and how you will grow. The aim is to make working with yourselves as attractive as possible.

The next stage of the tender is to outline what communications platforms you currently use. This should try to cover all forms of communication that suppliers in the tender may be able to help with.

This could cover areas such as Chat (Slack, Skype), Voice (both Voip {Voice over IP – for example Skype} and PSTN {Post Static Telephone Network – traditional network} as well as mobile phones and even walkie talkies), through to screen share and webinars. It is important to note the hardware you use and the current cost per employee and current rate card perhaps. Bringing together all costs from calls to equipment to subscriptions can take a lot of time but is absolutely invaluable in making a decision quickly and with confidence later on in the tender.

Following which you will need to give guidance on what you are looking for. This can be a challenging problem given the speed at which the telecoms landscape is changing. It might be better to give a broad brush view on the number of users, capabilities required, which areas people may call, any applications or technology that might be used and ask the providers to come up with some solutions as part of an RFI. Following the RFI or perhaps you know what you need, you would put together a clear specification of the requirements from which you can collect pricing that can be easily compared.

Making the final decision might require some serious consideration on a number of dimensions. Obviously, you have the cost comparison and when you are looking at calling across multiple regions, some kind of approximation of call volumes and call rate cards would be needed. On top of this, there are most likely more complex questions around the implementation and technology refreshes. Transferring existing numbers can create some real headaches to ensure your customers always get the best service. The maintenance and support is also an area not to be underestimated as well as the general interface for the users.
